Account Access & Modes

Set what each company account can do. Office = full estimating app, works the est shared mailbox. Site = read-only quote viewer (pick a project, see its quotes). Both = the person can switch from the top bar. No Access = cannot use the app. Office mode only works for someone who has been granted est mailbox access in Microsoft 365.

Automatic Follow-Ups

Oscar or EST can run automation in Office mode. Every email still sends from the shared est@auhs.com.au mailbox.

This first approved activation includes Follow-Up 1 for the reviewed historical Overdue list. After that one-time catch-up, every Off → On starts from that day and never sweeps older history. It also skips suppliers with a pending reply, inactive suppliers, and any item already quoted, declined, booked or closed.

Quote Follow-Up 1 is due on the original Reply By date. After every Follow-Up, the chosen waiting window becomes the new Reply By date. Automatic quote Follow-Up stops after two rounds.

Authorised Users

Two admins are hardcoded: oskar@auhs.com.au and est@auhs.com.au. Both can enter Office mode when Access allows it. Office mode always sends from and reads the shared est@auhs.com.au mailbox; Site mode never accesses email. Microsoft 365 mailbox permission is still required for any non-est account using Office mode.

How A Quote Email Becomes A Budget Line

What happens from the moment a trade replies, and who does each part. The AI reads and suggests, the app files and saves, but no reply is sent and nothing reaches a budget until you press the button. Anything the app cannot read is parked where you can see it, never dropped.
